A partner of a large organization providing employees access to datasets from Facebook, LinkedIn, and Google for projects in developing regions was struggling with a slow, email-based approval process spanning multiple teams, companies, and time zones. The fragmented system delayed critical data access by weeks, directly impacting funding and project timelines.
We designed and implemented a centralized portal that automated reviews, streamlined cross-team collaboration, and brought transparency to the workflow - enabling 3x more requests processed per week and improving visibility across five departments.

I try not to get confined by popular processes and frameworks and to let the specific needs of a project dictate my course of action. Yet, I generally find the Double Dimond framework to be the most effective due to its holistic approach to research and flexibility to be applied in various situations.

The solution is a centralized data request portal that replaced a fragmented, email-based workflow with a structured, transparent system. The platform unified proposal submission, internal review, and coordination with external data providers into a single source of truth, significantly reducing manual overhead and improving operational efficiency.

After submitting a proposal, team members must review and accept the terms and conditions before the request progresses. This ensures legal alignment and formalizes participation. Administrators can monitor agreement status and trigger reminders to prevent stalled requests and keep the process moving.
